     Summary:

    The Administrative Assistant will report to the Executive Assistant and is responsible for providing quality, professional, and timely administrative support for Mortenson’s Phoenix Operating Group.

    Responsibilities

    • Coordinates and set up meetings
    • Assists with travel coordination
    • Assists with expense reporting
    • Manages document preparation, record keeping, and filing
    • Proofreads communications and documents
    • Able to maintain confidentiality of employee, customer, and corporate information
    • Shipping and receiving of UPS and other packages
    • Understands the structure of the organization and understands how to best leverage its resources
    • Owns and maintains a customer and historical database including contacts, companies, projects, opportunities, reports, etc.
    • Ensures availability of office supplies and maintains production equipment
    • Supports a variety of preconstruction activities

    Qualifications

    Preferred Qualifications

    • Proven positive and professional attitude and strong customer service skills
    • Proficiency in all Microsoft applications (Outlook, Word, PowerPoint, Excel)
    • Outstanding editing skills (grammar, spelling, conciseness, etc.)
    • Effective communication and active listening skills
    • Effectively work with those of diverse backgrounds and organizational levels
    • Strong cross-cultural relationship building and influencing at all organizational levels
    • Attention to detail
    • Flexible with the ability to change direction or course of action on a moment’s notice
    • Ability to complete assignments in an efficient and timely manner
    • Good time management skills

    Education & Experience Requirements

    • High School or GED –required
    • Associate's Degree or equivalent combination of education and experience or other applicable business training – preferred
    • Minimum of two years Administrative office experience
